JITF2024 : Exhibitor’s manual

0. Outline

1) Location: TKP Ichigaya Conference Centre
2) Address: TKP Ichigaya Building, 8 Ichigaya-Hachiman-cho, Shinjuku-ku, Tokyo 162-0844

3) Monday 28 October:
8:00 – 9:00: Set-up time
9:00-18:00: Exhibition and presentations
18:00-20:00: Networking reception
(4) Tuesday, 29 December:
8:00 – 9:00: Preparation time
9:00 – 16:00: Exhibition and presentations
16:00 – 18:00: Clearance of the exhibition

The exhibition venue is the main conference room on the 7th floor. As last year, the floor space will be made larger, with more space between tables and rest areas for this purpose.

↑↑ is the networking reception venue on the 8th floor. The table layout will be changed to party specifications on the day. Another room has also been reserved for overflow.

1. what is included in the exhibition package

(1) One table
(2) Back panel (for putting up posters, etc.)
3) 40-minute presentation slot (30-minute lecture + 10-minute Q&A)
(4) 2 persons for the networking reception on the evening of the 28th.
(*) Power supply: capacity for 2 PCs/table. Please bring your own extension cables etc.
(*) WIFI environment: we request that all tables have internet access.
(★) If you intend to bring actual or power-consuming equipment other than PCs, please consult with us in advance.

2. Table specifications

The table is 45cm x 180cm and the back panel is 180cm x 180cm. Please note that pushpins cannot be used, so please prepare double-sided tape.

The tables can be freely constructed and decorated. As long as you take the minimum common-sense precautions to avoid disturbing neighbouring tables with loud noises, we will leave the rest to you. For reference, here are the tables of the companies at JITF 2023.

We will contact you separately in September about the table layout and decision-making process.

3. presentations

Presentations are expected to last 40 minutes (30 minutes presentation + 10 minutes Q&A), but we will leave it up to you to speak for 40 minutes and ask questions at your booth… etc. The order of presentations will be decided in September.

Presentation slides should be sent to Ohno by the end of September. The purpose is for the chairperson to get an overview of the presentation, so the content can be reworked until just before the actual event.

After JITF 2024, a ‘Non-Confidential’ version will be made available to participants for download.

4. booklet

A booklet containing information on all exhibitors and presentation outlines of JITF2024 will be prepared and distributed to all visitors (approximately 1,000 minutes will be prepared, but this will end when the booklet is exhausted).

Advertisements can be placed in this booklet: 200,000 yen (excl. tax) for A4 full size and 100,000 yen (excl. tax) for A5 size. Please consider this.

5. networking reception

Those wishing to attend the Networking Reception must pre-register (due to the need to order catering in advance).
However, exhibitors will be issued with two passes to attend the networking event. OIJC member companies will also receive a separate pass for attending social events according to their status (5 Gold, 3 Silver and 1 Bronze). These will be issued without a name, and pre-registration is not required for these.
If the number of participants exceeds this limit, please register individually using the form below. The participation fee is 10.000 yen (11.000 yen excluding tax: 11.000 yen including tax). Upon confirmation of payment, a receipt and participation pass will be issued for businesses that are eligible for the invoice system.

6. networking reception : Breakdown

(*) For catering reasons, the reception is not open to those who just turn up on the day.

7. Set-up and tear-down
【Set-up】
1. Exhibits, handouts, etc. should be sent to TKP Conference Centre Ichigaya and Mr Fukui by courier on the day before (Sunday, 27 October).
2. Set-up time is 8:00-9:00 on Monday 28 October. The reception and opening of the doors to visitors will start at 9:00.
[Removal]
1. Tuesday, 29 October, 16:00-18:00. Please attach a courier slip (e.g. Yamato Transport: we will arrange for you to get it on the day) from the courier contracted by the venue to your luggage in time. The shipment will be dispatched by the end of the day, or at the latest the following day.

8. billing.

We will issue an invoice in July with a ‘request for remittance with the due date at the end of August’.

9. Corona measures

(1) Alcohol disinfection will be available at the entrance to the venue, but no other special measures will be taken. Please act in accordance with your own ‘common sense’ regarding the wearing of masks.
